Courier loading boxes into the back of a Same Day Courier Services van

IT jobs that cannot wait for a parcel service

IT kit tends to move at awkward moments. A new starter needs a laptop on their desk on Monday morning. A director's machine has failed the day before a board meeting. A replacement firewall must reach a branch office in Cardiff before the network goes down for the weekend. A backup drive has to leave a data centre in Slough and arrive at an offsite vault in the same afternoon.

A parcel network can carry a laptop, but it passes through depots and sorting machines and arrives on the network's schedule, not yours. Our laptop courier service puts one driver and one vehicle on your job, travelling directly from collection to delivery, with signed proof of delivery at the end.

Staff laptop swaps and leavers' kit returns

Remote and hybrid working means a lot of IT equipment now lives at employees' homes. Getting it there, swapping it when it fails and recovering it when someone leaves are routine jobs for us.

  • New starters: a configured laptop, dock and monitor delivered to the employee's home on a set day.
  • Swaps: a replacement device delivered and the faulty one collected in the same visit, so the employee is never without a machine.
  • Leavers' returns: collection of laptops, phones, chargers and passes from a former employee's home, returned to your office or IT partner.
  • Office moves and refreshes: batches of devices between sites, which can be planned as a multi-drop route when several homes or offices are involved.

For regular volumes, a scheduled courier run or a business account with invoicing keeps it simple for your IT and finance teams.

Make leavers' collections go smoothly

Tell the employee the date and time window in advance, list exactly which items should be returned, and ask them to box everything together. A missing charger is far easier to sort out before the driver leaves than a week later.

Servers and network equipment to data centres

Servers, storage arrays, switches and racked equipment are heavy, valuable and often needed at a precise time, because an engineer has been booked for an installation or a migration window. We move this kit in the right size van, from a small van for a couple of 1U servers up to a Luton with tail lift for larger loads. Our van size guide shows typical load spaces and payloads.

Data centres run strict access controls, and those are handled by you as the customer, working with the site. In practice that means:

  • Delivery booking: you book a delivery slot with the data centre and give us the time and reference.
  • Visitor and access details: you register the driver's name or the courier company as expected, as the site requires. Tell us what ID the site will ask the driver to show.
  • Inductions and escorts: where the site requires an induction or a security escort into the loading bay or data hall, the site arranges it.
  • Goods-in: many sites receive equipment at a loading bay rather than allowing delivery to the rack. Tell us where the hand-over happens.

Arriving outside a booked slot often means being turned away, so we plan these deliveries as fixed appointments. We operate 24 hours a day, seven days a week, so late-night and weekend migrations are covered, including routes into London data centres.

Hard drives and backup media with chain of custody

Backup tapes, encrypted drives and evidence media often need a documented chain of custody, for compliance, for a legal matter or for your own records. Ours is simple and signed at each step:

  1. Signed collection

The driver counts the items, notes any serial or tamper-seal numbers you provide, and signs for them.

  2. Direct route

The media stays in the vehicle throughout, travelling directly to the delivery address with live updates sent to you.

  3. Signed delivery

The recipient checks the count and seals, then signs with their name and the time. The proof of delivery is sent to you for your records.

Sealed, tamper-evident bags or locked transit cases are a good idea for media and are supplied by you. We do not access the data or the devices. For confidential legal and financial material, see our legal and financial courier page.

Packing electronics properly

The best packaging for IT equipment is usually the manufacturer's original box with its foam inserts. If you do not have it:

  • Put bare components, such as drives, memory and circuit boards, in anti-static bags before cushioning them.
  • Use a strong box with at least 5 cm of padding on every side, so the device cannot touch the walls of the box.
  • Pack laptops closed, switched fully off (not asleep), with chargers in a separate bag.
  • Remove or secure loose parts such as rack rails and cables so they cannot rattle against the casing.
  • Label boxes containing servers or monitors "fragile" and "this way up".

Our guide to packing fragile items for a courier has more on cushioning and box choice, and our fragile and high-value courier page explains how we handle valuable goods.

Lithium batteries: what we can and cannot carry

Lithium-ion batteries inside laptops, phones, tablets and UPS units in normal working order are fine to send. They are part of the device and travel without special arrangements by road.

Loose spare batteries, power banks sent on their own, and any battery that is damaged, swollen, leaking or has overheated are classed as hazardous goods. We do not carry hazardous goods, so these items cannot travel with us. That includes a laptop being returned because its battery has swollen. If a device is being returned for that reason, use a specialist carrier or your manufacturer's returns process.

FAQ

Common questions

Can you collect a laptop from a leaver's home address?

Yes. Give us the employee's address, a contact number and a preferred time window, and we will confirm an estimated collection time when you book. It helps if you tell the employee the driver is coming and ask them to have the laptop, charger and any accessories ready, ideally in a box. If nobody is in, we contact you before deciding whether to wait or rebook.

Do laptop batteries cause a problem for the courier?

Not if the battery is inside the device and in good condition. Lithium-ion batteries fitted in laptops, phones and tablets travel normally by road. Loose spare batteries, damaged batteries and devices that are swollen, cracked, overheating or have been dropped in water are treated as hazardous, and we do not carry them. Ask your IT recycler or a specialist dangerous goods carrier instead.

Should the laptop be wiped or encrypted before it travels?

That is your decision, but most IT teams send devices with full-disk encryption switched on and the user logged out. Encryption means a lost device does not become a data breach. We transport the device; we do not access, wipe or configure it. Keep a list of serial numbers so the recipient can check what has arrived.

Can your driver go into the data hall?

Only if the data centre allows it and you have arranged it. Most sites require a booked delivery slot, named visitors and photo ID, and some require an induction or an escort. Those arrangements are made by you with the site. Give us the slot, the access reference and the name the driver should give, and we will make sure the right driver arrives at the right time.

How do you record chain of custody for hard drives?

The driver signs for the media at collection, noting the number of items and any seal or serial numbers you give us, and the recipient signs at delivery with their name and the time. The van goes directly between the two addresses, and you get live updates during the job. The signed proof of delivery becomes part of your own audit record.

What if the equipment is worth more than standard cover?

Tell us the value when booking. Goods in transit cover comes as standard, but cover limits and exclusions are set out in our terms, and electronics can be limited under some policies. We will confirm what is covered, or arrange additional cover for high-value goods, before the job goes ahead.
